Team Members

Add your staff as users and choose which parts of ShowCato each person can use.

Most small businesses have more than one person talking to buyers. A salesperson shares catalogs, an office helper adds new products, and you watch the enquiries. Team members let each person log in with their own email, so you never have to share your own password.

Own login for each person

Each team member signs in with their own email and password. You can stop their access at any time.

Only what they need

Switch on just the sections a person works in. Everything else stays hidden from their menu.

You stay in charge

Billing, storage, settings and the team list itself always stay with you, the account owner.

Add a team member

  1. Open Role Manager and click Add User.
  2. Enter their Email Address, WhatsApp No and a Password.
  3. Switch on the Permissions they need and click Save User.

They sign in on the normal login page with that email and password.

Things to know when adding a user

  • The password must be at least 8 characters.
  • The email must not already be used by another ShowCato account. Use the person's own work or personal email.
  • The form shows Adding under with your business name, so you can check you are in the right account.
  • ShowCato uses the first part of the email as the user's display name. For example, ravi.sales@gmail.com shows as ravi.sales.
✓

Give the password to your staff member in person or by phone. Ask them to keep it private, because everything done under their login is your responsibility as the owner.

Permissions

Permissions are on/off switches. Each switch adds one section to the team member's menu. A team member with no switches on can log in but sees almost nothing.

PermissionLets them
Products, Categories, CollectionsManage the catalog
All BuyersSee your whole buyer list
Only Added BuyersSee only buyers they added
Shared CatalogCreate and manage links
EnquiriesSee and handle enquiries

Team members never see Invoices, Role Manager, Storage, Advance Features, Support or Settings.

All Buyers or Only Added Buyers

The two buyer switches sit together under Buyers Access. You can turn on one of them, not both. Switching one on switches the other off.

  • All Buyers (see everyone) suits a manager or a trusted partner who handles every customer.
  • Only Added Buyers (their own) suits a field salesperson. They see only the buyers they added themselves, so your full customer list stays private.

Service businesses

If your Business Content in Settings is Services / Packages, the list changes. You see Packages, All Buyers, Only Added Buyers, Shared Catalog and Pkg Enquiries.

If you later switch the business between Product Catalog and Services / Packages, ShowCato updates your team's permissions for you. Products becomes Packages and Enquiries becomes Pkg Enquiries. Categories and Collections are removed, because service businesses do not use them.

Change permissions

  1. Open Role Manager. The table lists each user with their permissions.
  2. Click Edit next to the user.
  3. Switch permissions on or off in Edit Permissions and click Update.

Edit changes permissions only. The user's email and password stay the same.

Remove a team member

Delete moves a user to Trash. From there, Restore or Delete Forever.

  • A user in Trash cannot use their login.
  • When a user is in Trash, a Trash button with a count appears in Role Manager. It opens Trashed Users, with the date each user was deleted.
  • Restore brings the user back with the same permissions. Use Back to Active to return to the main list.
  • Delete Forever removes the user for good. This cannot be undone.
!

When a staff member leaves your business, delete their user on the same day. A shared or old password is the most common way business data leaks.

Common mistakes

  • Giving every switch to everyone. Start with the fewest permissions. You can add more later in seconds.
  • Sharing the owner login. Your own login opens Settings, Storage and billing. Give staff their own user instead.
  • Forgetting Shared Catalog. A salesperson with buyer access but no Shared Catalog switch cannot send any link.
