Sharing & Buyers

Buyers

Your buyer list holds every customer you share catalogs with. Save a buyer once, then pick them whenever you make a link.

A buyer can be a retailer, a dealer, a distributor, a chemist, a contractor or any business that orders from you. Saving them in ShowCato links every catalog you send and every quotation they return to one profile.

Over time, the buyer page becomes a simple history: what you shared, when they last looked and what they asked for.

Why keep a buyer list

Faster sharing

Pick the buyer from a list when you make a link, instead of typing details again.

Verified links

Links with verification only open for emails and mobiles saved in this list.

Who is active

See links sent, enquiries and last activity for every buyer at a glance.

Your list, your data

Export it to a CSV file anytime for your records or another tool.

Add a buyer

Open Buyers and click + Add Buyer.

Which details matter most

  • Owner WhatsApp No is used for the WhatsApp chat button and for mobile verification on secured links.
  • Owner Email is optional. The form notes it is "Used for email verification on secured links". Add it if the buyer prefers email.
  • Purchase Manager Details are for your reference. Verification checks the owner's email and mobile, not the manager's.
  • Internal Notes are marked "Private — buyer never sees this". Use them for buying habits, credit terms or best time to call.

Your buyer list

The Buyers page shows a table with these columns:

ColumnWhat it shows
BuyerName, company and email
MobileThe WhatsApp number. Click it to open a chat
CityCity / Location
Links SentHow many catalog links you made for this buyer
EnquiriesHow many quotations they sent you
Last ActiveThe last activity, such as a link you made for them or an All Buyers sign-in, or Never

Use the search box ("Search name, mobile, company…") to find a buyer quickly. Email also works. Click Clear to show everyone again.

Working with buyers

  • See each buyer's links sent, enquiries and last activity.
  • Click a mobile number to open a WhatsApp chat.
  • Share opens Share Catalog with the buyer selected.
  • Click a buyer to see all their links and enquiries.
  • Export CSV downloads your buyer list.

The buyer page

Click a buyer's name to open their page. It has three parts:

  • Buyer Details: contact details and your notes, with an Edit button and Share Catalog with {name}.
  • Shared Catalog: every link sent to them, with product count, expiry, Active or Expired, and the number of enquiries.
  • Enquiries: every quotation they sent, newest first. Click one to open it.

Open this page before a sales call. You will know what you sent last and what they asked for.

Edit or delete a buyer

Click Edit to change any detail, such as a new WhatsApp number. Update numbers quickly, because verified links check the saved number.

Click Delete to remove a buyer. ShowCato asks you to confirm first. Only delete buyers you no longer work with.

Export CSV

Export CSV downloads a file named with today's date. It has the columns Name, Company, Mobile, Email, City and Added By. You can open it in Excel or Google Sheets.

Buyers added for you

You do not have to type every buyer by hand. ShowCato adds buyers in two cases:

Where fromWhat happens
All Buyers linkA visitor enters a name and mobile or email. A buyer is added with the note "Auto-added via open catalog link"
Lead ConnectYou click Add to Buyers or Share Catalog on a lead. A buyer is added with a note naming the lead source and the lead's message

In both cases ShowCato first looks for an existing buyer with the same mobile or email. If one exists, it is reused, so you do not get duplicates.

✓

Buyers who open an All Buyers link, or that you add from Lead Connect, are saved to this list for you. Open them later to add the company, city and notes.

Team members and buyers

If you have team members, each one sees only the buyers they added. To let a team member see everyone, give them the All Buyers permission.

The Added By column in the CSV shows who saved each buyer. This helps when two salespeople handle different regions.

Privacy

Buyer names, numbers, emails, company, city and notes are stored encrypted. Buyers never see your list, other buyers or your notes. See Security & Privacy.

Tips

  • Save the number the buyer actually uses on WhatsApp, with the right country code.
  • Use the company name buyers know you by, such as "Gupta Medical Store", not just the owner's name.
  • Write one useful line in Internal Notes after every big order.
  • Check Last Active weekly. Buyers marked Never or inactive for months may need a call.

Common mistakes

  • Saving the manager's number as the owner's. Verification and the WhatsApp button use the owner number.
  • Adding the same buyer twice with slightly different names. Search first, then add.
  • Leaving out the email when the buyer will only verify by email.
  • Putting private notes in the link's Note to Buyer. That note is shown to the buyer. Use Internal Notes instead.
